What tags and Smart Tags are
Smart Tags are tags Chief applies for you. In the Chief desktop app, they are the tags with Automatically apply this tag turned on. Write one sentence describing what the tag should match, and Chief uses it to organize matching points in Live Notes. A tag has a name and color and belongs to one Project. Everyone in that Project shares the same tag vocabulary. A regular tag is applied by a person; a Smart Tag carries a matching sentence and applies itself. Tags are not Labels. Tags organize Live Sessions, while Labels organize files in the Library.Start with To-dos and Decisions
Every Project starts with two Smart Tags:- To-dos in amber.

Create and manage tags
In the Chief desktop app, click Tags in the sidebar. The manager is titled Tags and says Organize anything with tags. You can also use Manage tags in the Live Notes tag overflow, New tag in a tag picker, or Create tag on a live suggestion. The Tags button is shown to Project Owners and Collaborators. Readers, guests, and people who joined only through a Collaborator session link cannot save tag changes. Other tag pickers can still contain Manage tags or New tag, but the Project role remains the authority for saving. Chief shows no separate Smart Tags plan gate; access follows your Project role. See Project roles and access levels. To create a tag:- Click Create tag.
- Enter a unique name from 2 to 40 characters. Names are compared without regard to capitalization.
- Choose one of nine colors. New tags start blue.
- Optionally switch on Favorite to keep the tag near the front of tag lists.
- Leave Automatically apply this tag on to make it a Smart Tag. Describe what Chief should match in up to 1,000 characters. Enhance can draft or sharpen that sentence from the tag name, and Undo Enhance restores the previous text.
- Click Create. When editing an existing tag, click Save.
- Give the tag a name.
- A tag name needs at least 2 characters.
- A tag name can be at most 40 characters.
- This project already has a tag called “name”.
- Say what this tag should match.
- An instruction can be at most 1000 characters.

Start or open a Live Session in the desktop app. The dock tab is Workspace, and Live Notes is the document where the tag strip and tagged points appear. Chief tags a point as it writes it, then re-reads the session against your Project’s Smart Tags every 90 seconds. This lets a tag created mid-meeting reach earlier points and lets a narrower sentence drop points that no longer match. The pass uses no credits. Notes that a participant types are never auto-tagged; they carry only tags a person applies. A dashed tag chip was applied by Chief; a filled chip was applied by a person. Hover over a Chief-applied chip to Keep or Remove it. Click a chip to open its view, Option-click it to filter Live Notes, or drag it to the dock to open it as a column. With no filter on, the tag strip begins with All · count, followed by To-dos and the most-used tags; extra tags go into +N. While you filter, only the selected tags stay on the strip and every other tag moves into +N, immediately after the last visible chip. Pick another tag from +N to add it to the filter. Selecting two or more tags reveals All of and Any of. Use Open as column to keep the filtered list beside Live Notes, or Clear to remove the filter. When a meeting keeps returning to a customer, place, product, or project, Chief may suggest a Smart Tag in Activity. The headline is generated from the conversation, so it varies. Expand the suggestion and choose Create tag or Not now. Create tag opens the tag form with the proposed name and matching sentence filled in. Nothing is created until you click Create. Canceling leaves the suggestion open. After creation, the Activity item reads Tag set up. If that Smart Tag already exists, the form says “name” already exists. Click Use it for this offer. In a desktop or web Project task, ask for the tag you want. For example: Make a Smart Tag called “Greenland” that applies whenever someone talks about Greenland. Chief shows a Create Smart Tag confirmation card with the tag’s name, matching sentence, and color dot. Click Approve to create it or Reject to decline. After approval, the card reads Smart Tag created. Nothing is created before approval. If you do not name a color, the tag starts blue. If the name is already in use, Chief explains the conflict instead of showing a confirmation card. This works in desktop and web Project tasks, but an automation cannot confirm it: A Smart Tag needs a person to confirm it.Duplicate a tag
Click the Duplicate icon on a tag’s row. Chief opens a new draft with the same color, matching sentence, and auto-apply setting. Favorite starts off for the copy. The first copy is named name copy, followed by name copy 2, name copy 3, and so on. Copying a copy continues the sequence from the original name, and Chief trims names to stay within 40 characters. A copy of To-dos or Decisions becomes an ordinary Smart Tag using the default’s matching text.FAQ

Yes. Matching is a judgment, not a guarantee. Review important tag views before the meeting ends. Remove a wrong tag or apply the right one yourself.

No. Chief keeps the sentence so you can switch auto-apply back on without retyping it. The tag behaves as a manual tag while auto-apply is off.
